About this role
The Inventory Coordinator (Billing/Inventory Specialist) is responsible for accurately recording and verifying assigned vehicle inventory, including new vehicle invoices and used vehicle purchases and trades. The role posts inventory to accounting, reviews exceptions, and ensures all work is completed by month-end deadlines.
Key Responsibilities
- Receive and verify new vehicle invoices/inventory
- Receive and verify used vehicle purchase and AAX
- Post both new and used vehicles to accounting
- Posts dealer trades and used inventory submitted through BPMS and ECM.
- Review exceptions in BPMS database and adjust Lien Payoff, customer equity and all payables' schedules

The role uses BPMS and ECM to process and reconcile vehicle inventory and exceptions, and relies on detailed accounting adjustments such as Lien Payoff, customer equity, and payables schedules. It also requires strong MS Office usage—especially MS Excel, MS Outlook, and MS Word—and proficiency with 10-key and typing.
